FDE method vs traditional automation

Why you map the whole job first.

Old-style automation often starts with one annoying task. "Can we make this email send itself?" That can work. But often it automates a step that shouldn't exist. Or it just moves the slow part one step down the line.

The FDE (forward deployed) way starts somewhere else. It looks at the whole job, start to finish.

1. Map the whole job, not one task

Write down every step, from what starts it to when it's done. Who does it? Which tool? How long does it wait? What goes wrong? In a small business, this is often the first time anyone has written the steps down. That alone often shows the waste.

Our opinion, not a study:

Asks"How do we automate this?""Should this step exist at all?"
Usual riskAutomating waste. New hand-offs break.Takes longer at the start

2. Four choices for every step

The Startup Ideas Podcast episode notes talk about sorting "every step into four buckets: delete, plain code, agent, or human decision." We use the same four bins:

  1. Delete it. Typing the same data twice. Approvals nobody reads. Reports nobody opens. The cheapest automation is taking the step out.
  2. Simple rules. If the step is the same every time, use normal automation. For example, copy field A to field B, or send on a schedule. It does the same thing each time, and it's cheap to run.
  3. AI agent. Only use AI when the input is messy or needs judgment. For example: reading emails, sorting papers, or drafting a reply.
  4. Keep a person's OK. Anything with money, customers or steps that are hard to undo keeps a person signing off. That's true even if AI gets it ready.

A rule of thumb (our opinion): try the bins in that order. Many steps end up in bins 1 and 2. That's a good result.

3. Measure results, not busyness

Before you change anything, write down where you start. How long does each item take? How many items a week? How often is there a mistake or redo? How long do things wait? After the change, measure the same things the same way.

A useful test (our opinion): if you can say the problem in one sentence with a number in it, it's ready to measure.

When old-style automation is enough

Maybe you already know the one step that hurts. It follows simple rules. Nothing later depends on it. Then one automation may be all you need. You don't need an audit for that.

Where Runverra fits
